What a virtual registered office is and when you need it

A virtual registered office is a service where, for a monthly fee, you rent an address for registering the business address (sídlo) of a self-employed person (OSVČ) or a company in the register, without physically being on the premises. The provider is the owner (or an authorised user) of the property and will issue you the consent to placing the registered office with an officially verified signature.

It typically pays off when:

  • you live in rented accommodation and the landlord will not give consent (or you do not want to deal with the homeowners' association),
  • you have permanent residence at a municipal registration office address / official domicile address that cannot be used as a registered office,
  • you want to hide your home address from public registers and the data box (datová schránka) directory,
  • you need a representative Prague address for clients and partners.

What is usually included and what costs extra

In the basic price you usually get:

  • the owner's consent to placing the registered office with an officially verified signature (the basic document for entry in the register),
  • marking on the building / mailbox — mandatory under § 31(1) of the Trade Licensing Act (živnostenský zákon),
  • mail handling (registered and ordinary items) and notifications by e-mail or SMS,
  • online mail logging, often with a photo of the envelope, and short-term storage of items at the branch.

For an extra charge there is usually:

  • mail scanning and delivery by e-mail,
  • forwarding of items to your address — typically from around 99 Kč/month extra,
  • shredding of items,
  • rental of a meeting room — often free for dealings with authorities, but charged for business meetings (e.g. around 500 Kč/hour).

What to watch out for

The cheapest plans often do not include scanning or mail forwarding — these are charged extra (from around 99 Kč/month). With a low price, always check the limit on the number of items per year (e.g. "up to 5 pcs" vs. "up to 300 pcs") and the length of commitment — contracts tend to run from 3 months to 5 years, and the lowest prices apply only to the longest contracts. Also watch out for whether the price is inclusive or exclusive of DPH (VAT).

How to choose a quality provider

  1. Verify references and years in operation an established provider with a stable address; beware of bankrupt or "unreliable" mass addresses
  2. Check what is actually included in the price consent, mailbox marking, mail handling, notifications, logging
  3. Compare the price inclusive of DPH (VAT) and the length of commitment the lowest price usually applies only with a 5-year contract
